Transfer Coordination: Efficiently coordinate and schedule all guest transfers (individual, group, VIP), ensuring punctuality and accuracy. Prepare daily transfer schedules, driver itineraries, and necessary vouchers.
Flight Monitoring: Proactively monitor daily flight and arrival information, updating transfer schedules in real-time to prevent delays or missed pick-ups.
Interdepartmental Liaison: Act as the main point of contact between the Transportation Department and the Front Office, Concierge, and Reservations teams regarding guest arrivals, departures, and special requests.
External Communication: Maintain clear communication with external transfer suppliers and drivers to confirm bookings, resolve operational issues, and ensure service quality. Respond promptly to inquiries from tour operators, travel agencies, and guests via phone and email.
Administration & Reporting: Keep accurate records of all transfers, costs, revenues, and supplier invoices. Prepare and submit regular reports to the Transportation Manager.
Compliance & Safety: Ensure all transportation activities comply with company policies, safety standards, and local regulations.
A diploma or degree in Hospitality Management, Tourism, Business Administration, or a related field is preferred.
Proven experience in a hotel front office, concierge, guest relations, or transport coordination role is a strong advantage.
Proficiency in Microsoft Office (Word, Excel, Outlook). Familiarity with hotel PMS systems (e.g., Opera) is a plus.
Fluency in English is essential. Knowledge of additional languages is a plus.
Excellent organizational, communication, and problem-solving skills, with keen attention to detail.
