Records & Scheduling: Maintain accurate records of maintenance schedules, work orders, and completed tasks; create and manage preventive maintenance calendars.
Inventory & Procurement: Support the maintenance team in procuring tools, equipment, and materials; manage inventory of spare parts and supplies.
Request Management: Track maintenance requests, prioritize tasks according to urgency, and coordinate with vendors and contractors as needed.
Reporting & Documentation: Prepare maintenance reports, logs, and performance metrics; ensure all safety and compliance documentation is up to date.
Administrative Support: Process invoices, purchase orders, and other administrative documents; provide general administrative support including filing, scheduling meetings, and taking minutes.
Proven experience in maintenance administration, facilities management, or hospitality operations.
An associate degree in administration or facilities management is a plus.
Strong organizational, record-keeping, and reporting skills.
Proficiency in MS Office and maintenance management systems.
Ability to coordinate multiple tasks and work with technical and administrative teams.
Knowledge of safety, compliance, and preventive maintenance practices.
Excellent communication and interpersonal skills.
